Events Agent Trainee

As Events Agent Trainee, you will support the Events team in ensuring the smooth execution of hotel events and in delivering high‑quality experiences to our guests. This internship will allow you to learn how events are planned, coordinated and delivered within a luxury hospitality environment, working alongside experienced professionals.
What will you do?
- Support the organisation and coordination of client events, ensuring smooth communication between the various hotel departments.
- Help share event information with all relevant areas so teams can prepare and deliver their responsibilities effectively.
- Assist in preparing schedules and service plans for each event.
- Support with administrative tasks such as collecting documentation, preparing event requests and assisting with budget overviews.
- Help ensure guests receive high‑quality service, aligned with their expectations and preferences.
- Contribute to creating memorable experiences, including small gestures or surprises that exceed guest expectations.
- Assist in understanding client needs and liaising with relevant departments to ensure requirements are met.
- Learn how to offer different service options both indoors and outdoors depending on the event.
- Develop strong knowledge of hotel services, company standards and destination offerings.
- Collaborate in the organisation of activities, site inspections, and pre‑event planning with clients and guests.
- Be present during key event moments to support the team and ensure smooth execution.
- Help check meeting rooms and event spaces, ensuring they are well‑prepared, clean and properly equipped.
- Support event‑related invoicing and documentation checks, including supplier invoices.
- Assist in post‑event follow‑up, helping maintain communication with clients for future opportunities.
- Monitor communication channels (email, chat, etc.) to stay informed about last‑minute updates.
- Support the team in identifying upselling opportunities when appropriate.
- Contribute to ensuring excellent presentation standards for both event spaces and staff.
- Collaborate with all involved departments to coordinate service schedules.
What are we looking for?
Currently studying Tourism, Hospitality Management or a related field (or recent graduate).
- Good command of Italian and English (spoken and written); additional languages are a plus.
- Interest in event management and luxury hospitality.
- Strong interpersonal and communication skills.
- Service‑oriented mindset and enthusiasm for working with guests and teams.
- Organised, proactive and eager to learn.
- Basic knowledge of hotel operations, event tools or office automation is a plus, but not required.
- Flexibility to work shift patterns, including weekends, according to hotel needs.
